New Computers are Coming!

As part of the 2011 Bond, older outdated computers will be replaced this summer. This is an exciting project that will positivly impact instruction in Lamar CISD!

Important Facts:

  • Adolphus and Ryon will not be affected by this project
  • ALL staff computers (desktops and laptops) will be replaced with new Dell systems regardless of purchasing program
  • Additionally, all student laptops and netbooks will be replaced with new Dell laptops designed for student use (long battery life, spill resistant keyboard, ruggedized case)
  • CTE labs will receive new computers
  • Libraries, open labs, and classroom student workstations will be updated with the most recent models (used) that we are keeping in service
  • All re-purposed computers will be thoroughly cleaned, tested, and reloaded to ensure consistent performance
  • All re purposed desktops will receive the same new HD 22″ monitor as the new work stations
  • All new computers will carry a 5 year warranty ensuring that parts will be available during the full life of the device
  • Additionally, all new laptops add accidental coverage to their warranty due to their portable nature and higher incidence of drops and damage
  • This project will take place over the summer with a scheduled completion date of August 15th

Staff Laptops

While all staff laptops are being replaced, we do not want staff laptops left in classrooms and offices over the summer. Laptops will be exchanged for new models at our summer computer refresh depot. Additional details about location, dates, and times will be posted as soon as the schedule is finalized.

Before the Refresh (click here for the steps to setup your new computer when it arrives)

Internet Explorer

Exporting Favorites

As you have discovered resources on the web it is likely you have added them to your favorites in Internet Explorer.  These favorites can be exported to a file and then imported back onto your new or re-imaged computer.  Follow the steps in the Internet Explorer- Archiving Favorites cheat sheet to save your favorites and then restore them.

 iTunes

 Backing up the library

Any music or video you have purchased through iTunes is stored in the iTunes store for you and can be downloaded again at any time. However, if you have music or videos that you added to iTunes via CD or a file downloaded other than from iTunes, it most likely is only stored on your computer in your music library.  Those files will need to be backed up or they will be lost.  The iTunes cheat sheet shows you a quick, easy way to back up these files.

De-authorizing the computer

The iTunes program allows for up to 5 computers to be authorized with your apple ID.  That means you can download your purchased items onto those 5 computers.  Once you reach 5 you have to de-authorize a computer in order to authorize a new one.  This has to be done manually.  Follow the steps in the iTunes cheat sheet to de-authorize your computer.

 Computers

 Peripheral Resources

A common mistake is accidentally leaving some of your peripheral devices plugged into the computer.  Once the computer is gone it will be impossible to retrieve these items.  Please take a moment to make sure there is nothing extra plugged into the front or rear of the computer via usb or other port.  Store these items in a locked cabinet over the summer.  Some of the more common peripherals include:

      • ActivHubs
      • Flash drives
      • Blue tooth devices
      • Wireless devices receivers such as a mouse or keyboard antenna
      • USB hubs/powered USB
      • Cables for iPods, , phones, cameras, etc
      • CD/DVD’s from drive
      • External speakers (not speaker bars on your monitor)
      • Headphones
      • webcams

Backing up files

Any files that are saved directly to your computer will be lost once your new computer is installed.  Please take some time to ensure your files are safely backed up to something other than the computer itself.

Places that are not safe to store files and should be checked include, but are not limited to:

    • The Desktop
    • My Documents
    • My Videos
    • My Music
    • My Pictures

Check all of these places on your computer for important data you do not want to lose and be sure to copy that data someplace safe.

This data can be safely backed up to:

    • OneDrive for Business- this is part of your Office 365 suite the district has provided for you.  Refer to the Office 365 section on iCafe to learn more.
    • An external hard drive or flash drive
    • Your H drive

Make note of special programs

Throughout the year,  special programs may have been added to your computer to assist you with a project or to help run another device from your computer.  Make a note of what special programs you may have loaded that are not part of the district’s base image.  Some of these programs can be, but are not limited to:

    • Promethean ActivInspire or SMART Notebook (depending on your campus)
    • Horizon
    • Format Factory
    • Splashtop
    • Audacity

After the refresh follow the steps to setup your new computer!

The New Computers Are Here!

Your shiny new computer has arrived and it’s time to get it setup! Follow the steps below configure your new PC.

Display settings, duplicating desktop

You may experience issues with your projector not displaying the image from your computer. Follow these instructions to be sure your display is set to duplicate your image:

    • Hold down the Windows Key (looks like a flag in the lower left of keyboard) and press the letter “P”
    • A menu will display…choose to duplicate

clip_image001

Setting up desktop email

You will want to configure the desktop version of Outlook on your primary workstation(s).

    • To set up Desktop Outlook, simply open Outlook 2013 by going to Start–>Programs–>Microsoft Office 2013–>Outlook 2013
    • Follow the instructions on the screen
    • When the log in box appears, make sure your username is your full email address (lcisd.org not lcisd.local)
    • For additional help, check out this video to walk you through the process.

Protocol for re-installing specific software

If you have an interactive white board in your room, the software for the board will need to be re-installed on your computer. You will find the software on the Public Drive N:\Classroom Essentials folder. Select the appropriate program for your board and install. There may be other programs, such as Format Factory or Audacity, that you use regularly. Some of those programs are also found in the Classroom Essentials folder.

If there is a district program that you need to have installed, such as Horizon for the librarians, please contact help desk to have a work order placed.

Syncing OneDrive for Business

If you backed your files up to OneDrive, you will want to sync your account with your computer so that it is easier to access them. Refer to the Office 365 section on the iCafe Resources page to learn more about this process.

Protocol if printers are not correct

If you find that you do not have access to the proper printers on your computer, please contact the help desk so a work order can be placed for the networking department to get this corrected.

    • Email: helpdesk@lcisd.org
    • Phone: ext. 0220

Internet Explorer

Importing Favorites

As you have discovered resources on the web it is likely you have added them to your favorites in Internet Explorer. If you took the time to export your favorites beforehand, they can now be imported back onto your new or re-imaged computer. Follow the steps in the Internet Explorer- Archiving Favorites cheat sheet to save your favorites and then restore them.

iTunes

Authorizing computer

You should have de-authorized your iTunes account on your old computer before. It is now time to authorize the account. Follow the same directions on the iTunes cheat sheet…just choose to authorize the computer rather than de-authorize and follow the prompts.

Loading iTunes library

To bring all your audio and/or video files back into iTunes, first drag the folder you backed up earlier back into the Music folder under documents. You will then need to add those files back into iTunes. Open the iTunes program. Then choose File>Add Folder to Library and browse to the folder you just added.

The newer versions of iTunes does not initially look like the older versions. If you want to get the newer version to look like it did before, check out this post on the iCafe to Give iTunes that Old Feel

SkyDrive Becomes OneDrive

OneDrive and O365

If you haven’t noticed already, Microsoft’s cloud based storage system, SkyDrive, has been renamed “OneDrive.”  So what does this mean? When logging into Office 365, you’ll notice the OneDrive tab is in the same location as SkyDrive used to be, and the features are exactly the same. The only difference is the name.

If you have already activated your SkyDrive account and synced your district or home computer with SkyDrive, over the next few days you’ll notice the SkyDrive link in your Favorites change to match the new name. If you find that the name in your Favorites remains stuck on SkyDrive Pro or SkyDrive @Lamar Consolidated ISD, as you can see in the screenshots below, don’t worry!  Everything will continue to work. The name will change on its own sometime soon.

Skydrive in Favorites

If you haven’t had a chance to sync Skydrive/OneDrive with your district or home computer – you definitely want to do that!  Syncing the cloud based storage service with your computer allows you easy access to online storage.  So what does THAT mean? Good bye flash drives and hello OneDrive!  Office 365’s OneDrive Pro, provided for you by the district, gives you 20 GB of online storage.  How much is that?  ALOT!!  As a point of comparison, your current H:/ drive is limited to 1/2 GB, so your OneDrive storage capacity is exponentially larger.

Syncing Skydrive/OneDrive with your district AND home computers allows you to easily view and edit any of the documents you’ve saved at school – at home.  No more stressing out at 9 PM that an important file is saved on your flash drive or H:/ drive at school!  To get started you’ll need to log into Office 365 using your district credentials and click on the OneDrive tab to  activate your account.  Then you’ll be able to sync OneDrive to your computer.

You only need to activate your account once, but you will need to go through the syncing process once for every computer you want to have synced.  So for example, you’ll need to go through the syncing process on your district computer, district laptop, as well as your home computer.  Once you’ve synced the computers you use regularly, you’ll be able to drag and drop files into OneDrive, save directly to OneDrive, and work collaboratively by sharing documents with other staff members.

Increase Math Fluency with Big Brainz!

BigBrainzLogo

For the past several years, LCISD students grades K-8 have been taking advantage of Big Brainz as a means to increase math fluency with one catch; the multiplication and division portals of Big Brainz were more fully developed than addition/subtraction side of things. Well folks, that is no longer the case!

To access the updated software, simply install the new version directly over your old version…or install Big Brainz for the first time! The entire process takes less than 5 minutes.

Important Note:  The update to Addition/Subtraction is a completely new game inside of Big Brainz.  Once Big Brainz has been reinstalled, students who choose to play Addition/Subtraction will be prompted to take a simple 10 minute pre-test before jumping into the game at the level their pre-test results places them.  If students have played the old version of the Addition/Subtraction game in the past, their progress will be replaced with results from the new version of the game.  Any results from Multiplication/Division will remain unaltered.

Click here to learn how to install the latest version of the Big Brainz software

Don’t Forget to Play!

Once installed, students in grades K – 8 can log in using their LCISD Student ID number, choose an operation, and begin building math fluency. This software is even available for students to use at home!  Of course, no one can build fluency unless they actually spend time practicing.  After installation, the one of the most important thing teachers and parents can do to help is schedule “play” time for students to use Big Brainz.  On average, students will need about 6 hours of play to master their multiplication facts.

Ready to See Results?

Teachers can log in to view reports and track individual student progress using their Campus Password (district credentials required to view page.)  To learn more, visit the Big Brainz Resources found on iCafe.

Email Etiquette Top 10 List

Much of our professional life revolves around social media and interaction with others.  Even with the introduction of all the new platforms, email still plays a major role in day to day activities at work.  We must be careful that how we are perceived through email paints a proper picture of ourselves.  On a professional level, there are certain rules that you should follow.  Proper email etiquette is important in establishing and maintaining a good professional relationship.

After doing a little research and discussing this topic with my fellow Instructional Technology Specialists here at Lamar Consolidated ISD, I have come up with a Top 10 List for Email Etiquette.  We recorded a video for it in our studio to share with all of you.  Without further delay, here is ourTop 10 List:

There are many resources, both videos and cheat sheets, concerning email with Outlook 2013 as well as other Office products,  available in our resource section under the Office icon.  To go directly to the Outlook 2013 resources, click here.

Technology Troubleshooting Tips

In visiting campuses over the past few days, LCISD’s Technology Services Team has noticed some general issues many of you are experiencing.  In an effort to get everyone up and running as quickly as possible we have compiled a list of troubleshooting tips below.

Do I have the Right “Image” on My Computer?

If you do not have a PURPLE Background when you are at the log in screen, then your computer needs to be re-imaged.  Contact the Help Desk by calling x0220, or emailing helpdesk@lcisd.org to have a work order placed.  To ensure prompt service, be sure to include the room number, campus name, and the service tag number listed on the side of any computer that needs attention.

My Projector Isn’t Showing What is on My Computer Screen

After re-imaging, your projector may not show what’s on your computer monitor.  The projected image may be blue and say, “No Source” or it may be purple but not showing any of your icons.  Chances are, your computer is not set to duplicate the display. To correct this issue:

  • On your KEYBOARD:  Hold down the Windows Key (located towards the bottom – left of your keyboard) and press the letter “P”
  • A menu will display…choose to Duplicate

Duplicate Windows P big

Choose the Correct Resolution for Your Projector

If your projected  image is not filling your Smart or Promethean board the way it did last year and/or the icons on the projected image seem either squished, or overly large, then your screen resolution needs to be adjusted.  It’s a good idea to check this anyway to be sure your display is properly configured.

  • Right-Click on the Desktop and choose Screen Resolution

Screen Resolution

  • Select 1024 x 768 from the drop-down options **
  • Apply the changes, and if prompted, select “Keep Changes”
  • Select OK

**If you have a wide screen monitor connected to your Promethean or Smart Board – your ideal resolution may be different.  1600 x 900, and 1366 x 768 are two other preferred resolutions.

Promethean

Install ActivInspire

Once a computer has been re-imaged you will need to load the ActivInspire software back onto the computer so that you can use your Pens on the board.  To install ActivInspire:

  • Open My Computer–>Public Drive–>Classroom Essentials–>Promethean ActivInspire
  • Double click the Step 1 File from the Promethean ActivInspire Folder to begin installation.
  • Follow the prompts to complete the software installation.
  • After you have installed ActivInspire completely, open the Step 2 File from the Promethean ActivInspire Folder and copy the entire Serial Number (you may have to move the window over to the right in order to see all of the numbers.)
  • Double click on the Step 3 File from the Promethean ActivInspire Folder, this will open ActivInspire
  • On the software registration page that pops up, enter “LCISD” into the first 2 fields.
  • Paste in the Serial Number found in the Step 2 File into the 3rd field.
  • Check the box to accept the Terms of Use and click “OK”.
  • Another little box will open asking if you want to use ActivStudio or ActivPrimary.
  • Select ActivStudio and click continue.  The software should  then open properly.
  • Within a few seconds a small pop up box will appear asking you where you would like to store the Step 3 Resource Packs.  Select “Shared Resources.” and “No to all” if prompted
  • After your resources finish Indexing, you are ready to use ActivInspire!

Calibrate the Board

You may need to calibrate your Promethean board if the pens are not lining up properly with your cursor.  Click the link below to learn how to calibrate your board.

SMART

Install SMART Notebook

Once a computer has been re-imaged you will more than likely need to load the SMART Notebook software back onto the computer so that your board will respond to touch input.   To install Smart Notebook:

  • Open the LCISD Software Library Icon located on your desktop
  • Double Click the Smart Notebook icon to begin installation
  • In a few minutes, installation will be finished – and the Smart Notebook Software icon will appear on your desktop.

Orient the Board

You  may need to orient your SMART board if the touch is not lining up properly with your input. Learn to orient your board by following the link below:

AverVision Document Cameras

A new image on your computer also means document camera software needs to be installed.  No worries!  Installing AverVision’s new AverSphere software is quick and easy to do.

  • Double-click to open the LCISD Software Library from your desktop
  • Double-click to begin installing the AverSphere software
  • While you’re waiting for the software to install, be sure to connect your document camera to your computer via USB cord and plug it in so that it’s getting power.  In a few short minutes, you should be all set!  Open the AverSphere software from your desktop when you’re ready to begin using your document camera.

Outlook Email – on Your Desktop

You will want to load the desktop version of Outlook so you have all the options available that the program has to offer.
